All non-profit booth spaces are 10'x10' non-electric spaces and are located in designated non-profit vendor areas. These spaces have limited availability. Tents and tables are not provided. We are not responsible for any injuries, theft, accidents, or weather events.


Vendor/non-profit check in will be held Friday, October 30th from Noon-6pm at the gazebo with the blue metal roof in the Town Park. Vendors may not setup or begin to unload in any space until they have checked in. Once you have checked in, you are free to setup whenever you like and for however long you need, up until 8AM the day of the event. Vendors will not be checked in except for between the times listed. If you have not checked in by 6pm on Friday, October 30th, you will forfeit your space(s).


Acceptance notifications/rejections will be sent out by October 2, 2026. The person listed as the contact on the application will be contacted with the results of the application request. Applications are reviewed on a first come first served basis and are judged based on the merit of the application itself, mission of the organization, service area, and other criteria. The Elberta German Sausage Festival reserves the right to approve or deny any application.


All vehicles must be out of the park by 8AM the day of the festival and may not return until 5PM.


No generators are allowed.


No food/beverage sales.


No pets are allowed.


All items must be kept in your 10'x10' space.


Information distribution should be limited to the immediate area of your booth space. Handouts in other areas are prohibited.


No offensive materials or offensive novelties or other items that would be considered inappropriate in a family atmosphere.

Food Vendors Application

This application does not apply to "craft" food vendors, such as jellies/jams, honey, seasonings, spices, freeze dried candy, and other pre-packaged items.


Food vendors may begin setting up at 8AM Friday, October 30th and must be fully setup with personal vehicles out of the event perimeter by 5PM.


Food vendors may operate for the Blocktoberfest event on Friday, October 30th from 6PM-11PM. This event is optional. If you decide to open for Blocktoberfest, it is up to you at what time you shut down. This will be a block party type event - there will be live music, and the Festival will be selling beer and soft drinks. Arts and Crafts vendors will not be open for this event, and the Festival will not be selling sausage. All food vendors must operate during the Festival on Saturday, October 31st until 5PM.


Submission is not a guarantee of acceptance into the event. Acceptance/rejection notices will be sent out by October 2, 2026. Any fees based upon payment method selected when submitting your application will be passed to you.


We charge $15 per linear foot. So, for example, if your setup is 26 feet long, you would select a quantity of 26 on the application, and your fee would be $390.


All food vendors will be placed alongside the north side of Pine Street. Setups will not cross the marked threshold on Pine Street. i.e., Pine Street is a main walkway and it will not be blocked or obstructed.


No personal/supply vehicles are allowed inside the event perimeter after 8AM or before 5PM the day of the Festival.


No food vendor trailers or self propelled vehicles may leave the event until 5PM the day of the event, unless otherwise directed by Festival Staff.


Items sold will be limited to what is submitted on your application, unless otherwise amended in writing by event staff.


Menus will be considered on an item-by-item bases. For example, if you have 5 items you would like to sell, and we do not agree to 1 of the items, we will simply ask you to remove the 1 item that is not approved. 

 

Vendors will use existing breakers, wiring, plugs, and panels. No electrical equipment will be modified.


It is up to each vendor to make sure their setup is able to hookup to our outlets. We do not supply any adapters. It is up to the vendor to ensure that they are not exceeding the amperage limit on each plug/breaker. Vendors may not modify event panels or plugs in any way. It is not our responsibility to modify existing panels or plugs to accommodate a vendor. Any vendor whose setup is causing electrical issues for the panel, such as breaker trips, etc, will be unplugged and the vendor will be notified if the setup is unattended.


DRINK SALES ARE NOT ALLOWED. We have numerous non-profits that sell drinks in the food vendor area, so this is a fairly restricted category. The idea is to funnel drink sales to the non-profits.


Absolutely no alcohol sales permitted.


All vendors must be properly licensed and insured to operate in the State of Alabama/Baldwin County.


Use of a generator must be approved by Festival Staff.


Food vendors must submit an application for each event that they would like to attend. Approval is only on a per-event basis. Our event is always held on the last Saturdays of March and October. 


Festival Staff will have final authority on any issues that may arise with any food vendor.


Fees are non-refundable.


If you are not in compliance with these rules, or you are found to be deviating from what was submitted and approved, you will not be allowed to operate at the event and will be disqualified from our future events.​

Arts & Crafts Vendors

If you are a member of a non-profit organization in the Elberta area and you would like a free non-profit booth space, please submit a non-profit application.


If you are a food vendor, please submit a food vendor application. We do not define "craft" foods such as freeze dried candy, baked goods, jams/jellies, honey, spices, etc. as food vendors. If you are unsure, please email us at festival@elbertafire.com.


Booth spaces are assigned on a first-come first-served basis, with return vendors having priority. Once we are sold out of spaces, vendors may sign up for the waitlist if a spot comes open.


If you are a return vendor, but you are requesting a different type or different quantity of booth(s) from your previous Festival, you will not be guaranteed your previous booth space assignment. The reason for this is to achieve what you have requested, and what you requested may not be possible in the same area you were in previously.


Once your application has been processed and you have been approved, NO REFUNDS WILL BE ISSUED. If your application has been wait listed and you are not approved, you will be refunded. If you are on the waitlist, you may remove yourself at any time and receive a full refund by logging in, navigating to Vendor Hub, and under the My Applications section click the button to leave the wait list.


The festival will be held October 31, 2026 from 8am-5pm in the Elberta Town Park in Elberta, AL.


Vendors must check in before setting up any element of their booth. There are two options for check in during the check in period. 


 1) Online check in will be available beginning the day before the Festival (Friday) at Noon and ending at 7 AM the day of the Festival (Saturday). Download our app from the App Store/Google Play (or visit https://festapp.elbertacp.org), login, go to Vendor Hub, and you should see a section for online check in. Enter your Confirmation Code (this was sent in your acceptance email). Once checked in, you will be shown your booth space numbers, and you will also receive a confirmation email that you checked in. 


 2) In-person vendor check in is ONLY THE DAY BEFORE THE FESTIVAL (Friday) FROM NOON-5 PM. YOU MUST BRING YOUR ACCEPTANCE EMAIL WITH CONFIRMATION CODE AND QR CODE. In-person check in is located at the gazebo with the blue roof near the Kids Park on the south side of the Town Park. If you have not checked in by 7 AM on the day of the Festival (Saturday), you will forfeit your space(s) without a refund. Even if you check in, but do not attend the Festival, you will lose your return vendor status for the next festival, and will have to wait until the application is public to submit.


If you do not setup and attend the festival, you will forfeit your status as a return vendor, and will not be guaranteed your same space for the next festival.


Booth spaces are 10'x10'. We do not provide tents or tables; we only provide a space for your to setup. We cannot guarantee that exact or similar items will not be sold in proximity to your booth, although, we do try our very best to spread vendors out.


Vendors are not to move barricades. Any vendor doing this will be ejected from the event without refund, and will not be allowed to attend future events. 


All vehicles must be outside of the event barricades by 8am the day of the festival. Any vehicles still inside the event perimeter after 8am (anywhere inside of barricades, chains, gates, etc) will be towed at owner's expense. Any vehicle parked in front of/in the immediate area of barricades, chain gates, and/or driveways will also be towed. Handicap parking is reserved around the Police Department, Civic Center, and the Municipal Complex across from the Town Park. If you are parked in a handicap area without proper legal designation on your vehicle, it will be towed at owner's expense.


Vehicles are not allowed back into the event perimeter until 5pm the day of the event, unless allowed by Festival Staff. No parking is allowed at Town Hall or on Town of Elberta property unless the vehicle has proper legal designation for handicap parking, or otherwise arranged with the Town.


We are not responsible for any injuries, theft, accidents, or weather events.


You are responsible for collecting sales tax at 11%. All applicable State of Alabama and Baldwin County business and/or vendor licenses must be acquired prior to the festival. If you already have a valid Baldwin County business license, you will also need a transient vendor license to operate at the festival. If your tax account with the county is delinquent, you will not be allowed to check in until it is made current, and your booth space fee will not be refunded. For more information regarding licensing, please call (251) 990-4633, or e-mail salesandusetax@baldwincountyal.gov. Failure to obtain proper business license sections may result in citations from the Baldwin County License Enforcement Department. We also reserve the right to not allow your business to operate at the festival if you have not acquired the proper licenses.


Tax paperwork can be downloaded from the Vendor Hub, or our website at https://www.elbertacp.org/tax the week of the festival. It will no longer be handed out at check in.


We reserve the right, at our discretion, to deny participation for any reason. There are absolutely NO REFUNDS unless you are expelled from the Festival. If you have any other questions you may call, or e-mail festival@elbertafire.com for a faster response. We expect all vendors to abide by the terms listed in this application. Failure will result in expulsion from the event. We reserve the right to make administrative changes to booth space assignments at our discretion. 


Please do not contact Elberta Town Hall regarding your application; they do not handle the applications, and cannot give you any information regarding status.


While some companies such as Essential Oils, Scentsy, Color Street, Paparazzi, etc. may have rules that only one of their vendors may attend an event, we do not enforce the rules of any 3rd party. 


Any employee or person assisting a vendor at the event must follow the same rules as the person responsible for the booth space.


Vendors are not allowed to sell or display items from vehicles during the festival.

VENDORS MAY NOT DISTRIBUTE MATERIAL OR OTHERWISE ADVERTISE THEIR BUSINESS OUTSIDE OF THEIR BOOTH SPACE(S)


NO POLITICAL CAMPAIGNS


Event staff will make any final determination as to what items can and cannot be sold at the event.
